Administrative Coordinator (Remote)

The Academy of Pediatric Integrative Medicine (APIM) is a mission-driven medical education company dedicated to advancing children’s health. Our portfolio includes a national physician Fellowship and a Scholar certificate program designed to train and empower licensed healthcare professionals committed to improving pediatric care.

Position Overview

We are seeking a highly organized, detail-oriented Administrative Coordinator to support the day-to-day operations of our educational programs. This is a fully remote role ideal for a proactive, reliable professional who thrives in a fast-paced, collaborative environment. The Administrative Coordinator will play a key role in ensuring smooth program execution, providing physician faculty and learner support, and maintaining operational excellence across multiple initiatives.

Key Responsibilities

  • Coordinate logistics for virtual educational programs, including scheduling sessions, managing calendars, and organizing resources for distribution to students and faculty
  • Support the administration of the Fellowship and certificate programs, including tracking participation, progress, and maintaining records
  • Monitor inboxes, triage inquiries, and respond to students and faculty in a timely, professional manner
  • Draft and send student communications, including email announcements, reminders, and program updates
  • Create and manage student surveys, forms, and data collection tools using Google Suite
  • Facilitate Zoom sessions, including setup, troubleshooting, and participant support
  • Maintain and organize project templates and workflows using ClickUp
  • Draft, edit, and proofread professional communications and program materials
  • Collaborate with internal team members to ensure timelines and deliverables are met
  • Identify opportunities to improve processes and enhance operational efficiency

Qualifications

  • Bachelor’s degree in business, public administration, communications, or a related field
  • 2+ years of experience in an administrative, operations, or program coordination role
  • Exceptional organizational skills and strong attention to detail
  • Proven ability to manage multiple priorities and high-volume tasks simultaneously
  • Experience with ClickUp (or similar project management tools)
  • Proficiency in Google Workspace (Docs, Sheets, Forms, Calendar, Drive)
  • Experience coordinating Zoom meetings and virtual events
  • Excellent written communication skills, especially in professional email communication
  • Strong scheduling and time management skills
  • Highly reliable, responsive, and accountable
  • Self-starter with the ability to work independently in a remote environment
  • Collaborative mindset and team-oriented approach

Preferred Qualifications

  • Experience in healthcare, medical education, or academic program administration
  • Familiarity with learning management systems (LMS)
  • Experience supporting Fellowship or professional training programs
  • Excellent communicator

Job Type: Part-time, 10 hours per week

Pay: $30/ hour 

Work Location: Remote, must reside in the United States
